SBR Events Privacy Policy

SBR Events (“we”) take your privacy very seriously.

This Privacy Policy sets out how we use and look after the personal information we collect from you. We are the data controller, responsible for the processing of any personal data you give us. We take reasonable care to keep your information secure and to prevent any unauthorised access to or use of it. By signing up to events with SBR Events (“The Event Organiser”) you are accepting and consenting to the practices described in this policy.

 

What personal data we hold on you

Personal data means any information about an individual from which that individual can be identified.

We collect, use, store and transfer some personal data of our participants [and their emergency contacts] and marshals.

 

Information you give us

You may give us information about yourself when you register for a race when entering an event organised by The Event Organiser, and by filling in forms at an event or online, by searching for a product or placing an order with the Event Organiser, participate in discussion boards or other social media functions with The Event Organiser or by corresponding with us by phone, e-mail or otherwise.

 

The information you give us may include your name, date of birth, address, e-mail address, phone number, gender, photograph and the contact details of a third party in the case of emergency. We may also ask for relevant health information, which is classed as special category personal data, for the purposes of your health, wellbeing, welfare and safeguarding. Where we hold this data it will be with the explicit consent of the participant or, if applicable, the participant’s emergency contact.

 

Information we collect about you.

With regard to each of your visits to the Event Organisers website we may automatically collect the following information:

technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;

information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from The Event Organisers website (including date and time); products you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number.

Information we receive from other sources.

We are working closely with third parties (including, for example, business partners, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers, credit reference agencies) and may receive information about you from them.

 

 

 

Why we need your personal data

We will only use personal data for any purpose for which it has been specifically provided.

 

The reason we need participants’ and marshals’ and pacers’ personal data is to be able to organise sports events which you have agreed to enter, arrange volunteer marshals & pacers to be at events, to ensure we have correct age groups for prizes & placements within a race & to provide the services & timings associated within a sports event that you have signed up for including providing essential medical care if required.Our lawful basis for processing your personal data is that we have a contractual obligation to you as a participant or marshal to provide the services you are registering for.

 

 

How the information is used

We use information held about you in the following ways:

to operate as The Event Organiser, to organise & and report on races & events, promote events and other races;

in particular, when you enter events and use the social media features offered through The Event Organiser:

your name, image and contact details be used by us and our partners for the purposes of:

the promotion and marketing of the race and The Event Organiser;

adding you to a mailing list to keep you informed about any future events and services which we believe you might be interested in, such as leisure activities relating to either similar types of events or activities or future races;

promotional and marketing material in respect of similar events, other activities organised by us and/or our partners & charities

we may use photographs taken on events organised by The Event Organiser & photographs you upload, post or otherwise provide to us in any way which we may see fit including, but not limited to display on the website of The Event Organiser and inclusion in other publications and publicity materials & on social media.

to carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us;

to provide you with information about other goods and services we offer that are similar to those that you have already purchased or enquired about;

to provide you, or permit selected third parties to provide you, with information about goods or services we feel may interest you. If you are an existing customer, we will only contact you by electronic means (e-mail or SMS) with information about goods and services similar to those which were the subject of a previous sale or negotiations of a sale to you. If you are a new customer, and where we permit selected third parties to use your data, we (or they) will contact you by electronic means only if you have consented to this. If you do not want us to use your data in this way, or to pass your details on to third parties for marketing purposes, please tick the relevant box situated on the form on which we collect your data;

to notify you about changes to our service;

to ensure that content from The Event Organiser is presented in the most effective manner for you and for your computer.

 

Information we collect about you.

We will use this information:

to administer The Event Organisers website and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;

for The Event Organiser to make improvements to ensure that content is presented in the most effective manner for you and for your computer;

to allow you to participate in interactive features of our service, when you choose to do so;

as part of our efforts to keep our The Event Organisers website safe and secure;

to measure or understand the effectiveness of advertising we serve to you and others, and to deliver relevant advertising to you;

to make suggestions and recommendations to you and other users of The Event Organisers website about goods or services that may interest you or them.

Information we receive from other sources. We may combine this information with information you give to us and information we collect about you. We may us this information and the combined information for the purposes set out above (depending on the types of information we receive).

 

 

Who we share your personal data with

When you share any personal information, we download a report from our 3rd party suppliers prior to race start & it is entered into our database, which is administered by The Event Organiser and Office Administrators.

The data we collect form you may be transferred to, and stored at, a destination overseas; outside the European Economic Area (“EEA”). It may be processed by staff operating outside the EEA who work for us or one of our suppliers. By submitting your data, you agree to this transfer, storing or processing. We will take all steps reasonable & necessary to ensure that your data is treated securely and in accordance with this privacy policy.

 

We may share your personal data with selected third parties, suppliers and sub-contractors such as chip timing, medical and booking organisations. Service providers will only process your personal data for specified purposes and in accordance with our instructions.

 

We may disclose your personal information to third parties to comply with a legal obligation; or to protect the rights, property, or safety of our participants, members or affiliates, or others.

 

Protection of your personal data

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

 

 

Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.

 

You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data.

If you have previously agreed to us using your personal information for direct marketing purposes and/or our events, you may change your mind at any time by writing to or emailing us at info@sbrevents.co.uk. We will then give you the opportunity to select to be removed from our database. You can also exclude yourself from our mailing lists by unsubscribing.

The Event Organisers website & emails may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

 

We may update this Privacy Policy from time to time and will inform you to any changes in how we handle your personal data.
